  16. POLICY SCOPE AND LIMITATIONS
In this Policy, “Personal Information” means any information that identifies or could reasonably be used to identify a specific individual, including information that some laws call “personal data,” “personal information,” or “sensitive personal information.”
This Policy applies to Personal Information that we collect:
• From clients and prospective clients seeking services (for example: hypnosis for habits and patterns, stress reduction, emotional regulation, executive coaching, leadership coaching).
• From coaches, consulting hypnotists, and other specialists who apply to join Care of You.
• From companies and organizations that contact us about corporate coaching or wellness programs.
• From people who communicate with us by email, phone, web form, or social platforms.
This Policy does not apply to:
• Information that has been de-identified or anonymized so that it cannot reasonably be linked back to you.
• Information handled only by an independent contractor or provider outside of our Platform under their own policies and legal obligations.
• Information collected by a third-party service you access directly (for example, a coach’s private scheduling software or a payment page they operate themselves).
When Care of You processes Personal Information for internal purposes (for example, to review your application to become an Executive Coach on the platform), Care of You is the “data controller” or “business” for that data. That means we decide how that data is used, within the rules of this Policy and applicable privacy laws.
When we process Personal Information on behalf of an organization client (for example, when a company asks us to suggest executive coaches for their leadership team), that company may be the data controller and we may act as a “service provider” / “processor.” In those cases, the organization’s own privacy or HR policy may apply to some of your data. We are not responsible for other companies’ or individual providers’ privacy practices.
Our Services may contain links to websites, applications, scheduling tools, messaging services, or payment processors that we do not control. Their privacy practices may be different. Please review their policies if you choose to use them.
  1. INFORMATION WE COLLECT
We collect Personal Information in a few main ways:
• Information you provide directly to us.
• Information collected automatically when you use our Services.
• Information we receive from third parties.
Information you provide directly

• Preferred language of service (for example, English or Russian)
• Areas of concern or goals (for example: stress, habits, leadership development, burnout, anxiety, performance, public speaking, fear of flying)
Professional Application Information (for Specialists)
If you apply to work with us as an Executive Coach, consulting hypnotist, corporate coach, or other specialist, we may collect:
• Your CV / résumé, certifications, credentials (for example ICF, NGH), licensure status (if applicable), education history, areas of specialization, years of practice
• Links to professional profiles
• Languages in which you work with clients

Please do not send us medical emergency information, crisis disclosures, or information about self-harm through general intake forms. Those situations require immediate licensed clinical or emergency support, not coaching or hypnosis.
Communications with Us
If you email us, message us, or fill out a web form, we collect the contents of that communication. We may also keep call notes or chat summaries to help us serve you better, for training, and for quality assurance.

  1. LEGAL BASES FOR USE OF YOUR INFORMATION
Some privacy laws (for example, GDPR in the European Union and United Kingdom, and certain U.S. state privacy laws) require us to explain the legal bases we rely on.
We use your Personal Information on the following bases:
• Consent: when you voluntarily provide information (for example, submitting an application to join as a Coach).

With service providers
We work with certain trusted vendors and platforms that help us operate our Services.
Examples: scheduling tools, secure document collection, secure file storage, email and messaging systems, analytics.
Where the law requires it, we have agreements with these providers that limit how they can use the data.
For legal, safety, and compliance reasons
We may disclose Personal Information if we believe in good faith that doing so is necessary to:
• Comply with law, regulation, court order, or lawful request.
• Enforce our Terms of Service, professional standards, or internal policies.
• Protect the rights, property, safety, and well-being of Care of You, our clients, our specialists, or the public.
Business transition
If we undergo a business transaction such as a merger, partnership, acquisition, reorganization, or asset transfer, Personal Information may be transferred as part of that process, consistent with this Policy.
De-identified or aggregated data
We may share data that has been de-identified or aggregated so it cannot reasonably be linked back to a specific person. That kind of information is not restricted by this Policy.
  1. RETENTION OF YOUR INFORMATION
We keep Personal Information only for as long as reasonably necessary to:
• Provide Services you requested.
• Evaluate and onboard specialists.
• Maintain required business records.
• Meet legal, tax, or regulatory obligations.

If you ask us to delete your Personal Information, we will make a reasonable effort to do so unless we are required by law to keep certain records (for example, compliance documentation, financial records, or proof of professional standards for an engagement).
Please note:

We may still contact you with important service-related messages such as “your application is scheduled for review.”
Identity verification
For privacy and security, we may ask you to verify your identity before we act on certain requests (for example, before we delete or release account information).
Requests on behalf of someone else
In some regions, you can designate an authorized agent to submit a request for you. If you do that, we may request proof of that authorization.
